Once professional time is spent on your case—whether in consultation, document review, application submission, or training—it cannot be reclaimed or “undone.” This is the fundamental reason why refund rules exist and why fees become non-refundable after services begin.

- Immediate Delivery: Many services (consultations, assessments, planning) are delivered immediately and cannot be “returned”
- Resource Allocation: When you enroll, we allocate counselors, trainers, and resources specifically for you
- Operational Costs: Administrative costs, system access, materials, and overhead are incurred immediately
- Industry Standard: Non-refundability for professional advisory services is standard practice in education consultancy worldwide

4.1 Duplicate or Excess Payment

Situation: You accidentally make a duplicate payment or transfer an amount exceeding the agreed fee.
The agreed fee is PKR 50,000, but you accidentally transfer PKR 55,000 or make two separate payments of PKR 50,000 each.
What We Do:

- Cross-check with bank records and payment receipts
- Process refund of the excess or duplicate amount only
- Return funds to the original payment source (bank account/credit card)

- ✓ Funds returned to the original payment method only
- ✓ Processing Time: 4–8 weeks from verification date
4.2 Payment Made but No Work Initiated
✓ Refund May Be Considered
Situation: You paid a service fee, but absolutely no work has been started on your case.
You paid the service fee on Monday, but by Tuesday you decide to cancel before any counselor was assigned, any documents were reviewed, or any planning session occurred.
Refund Possible If ALL Conditions Met:
- ✓ You paid a service fee (not consultancy/assessment fee)
- ✓ No work whatsoever has been initiated on your case
- ✓ No counselor, trainer, case officer, or documentation team has been assigned
- ✓ No consultations, assessments, or planning sessions have occurred
- ✓ No documents have been reviewed or processed
- ✓ No internal resources have been allocated
Mandatory Conditions:
- Written Request: Submit formal cancellation request within 48 hours of payment
- Administrative Deduction: 10–20% deduction applies to cover bank charges, processing costs, and system operations
- Exclusion: Initial consultancy, registration, or assessment fees remain strictly non-refundable
This deduction covers actual costs including payment gateway fees, bank charges, administrative processing, system updates, and operational expenses incurred even when services have not yet begun. This approach balances fairness to the client with cost recovery for the firm.
4.3 Confirmed Administrative or Clerical Error by Lingolab
✓ Refund Applicable (Partial)
Situation: A confirmed internal error by LingoLab directly prevents the submission of your application.
You submitted all required documents on time and met all deadlines. However, due to a confirmed administrative error by LingoLab staff, the application was not submitted to the university before the deadline, and this error is verified and acknowledged by management.
Refund Possible If ALL Conditions Met:
- ✓ You provided complete and correct documents within the agreed timeline
- ✓ You met all your obligations and deadlines as per our agreement
- ✓ A confirmed administrative or clerical error by LingoLab staff occurred
- ✓ The error directly prevented submission of the application
- ✓ The error is internally acknowledged by LingoLab management in writing
Mandatory Conditions:
- You must provide written proof of timely document submission (emails, receipts, timestamps)
- The error must be verified and acknowledged by senior management
- Refund is strictly limited to the unused portion of services only
- Initial consultancy and assessment fees remain non-refundable (as professional advice was already provided)

5Fees That Are Always Non-Refundable (Clear Explanation)
Certain fees are strictly and absolutely non-refundable under all circumstances, without exception. This applies regardless of any subsequent events or changes in circumstances.

The client acknowledges that these services involve immediate intellectual input, expert time, professional analysis, planning, and administrative effort, which cannot be reversed, recovered, or “returned” like a physical product.
Once advice is given and professional assessment is provided, it has been consumed and cannot be undone.
6What Counts as “Service Has Started”
This section clearly defines when services are considered to have begun, making fees non-refundable.

- Trainer Assignment: Assigning a specific trainer or counselor to your case
- Material Provision: Providing study materials, templates, sample answers, or training resources
- Visa Services: Preparing visa checklists, document sequencing, or submission guidance
- Mock Tests & Assessments: Conducting practice tests, mock interviews, or skill assessments

Even partial work means professional time has been invested. You cannot receive professional services and then request a refund because you are dissatisfied with the process or outcomes.
Scenario: You paid for university application services. Our team reviewed your documents, drafted your SOP, and provided feedback on your CV. After this, you decide you no longer want to proceed.
Outcome: No refund is applicable because services have been delivered. Professional time, expertise, and effort were invested in your case.
7Visa & Immigration Outcomes (Honest & Clear Explanation)
We understand that visa applications are stressful and outcomes are critically important to you. This section provides complete transparency about visa processes and refund implications.
Critical Facts About Visa Decisions:

- We cannot guarantee, promise, or ensure visa approval

- Delays are normal: Processing times vary and can exceed published timelines
- Refusals happen: Even strong applications can be refused for reasons beyond anyone’s control
- Additional requests are common: Embassies frequently request additional documents or clarifications
- Security checks vary: Background checks and administrative processing can cause significant delays
- Policy changes occur: Visa rules and requirements can change without notice

Visa refusals, delays, and requests for additional documentation are normal parts of the immigration process, not failures of consultancy services. Similar to visa decisions, university admissions decisions are made independently by educational institutions.

All universities and educational institutions operate independently and autonomously. Admissions committees make their own decisions based on their criteria, quotas, and assessment processes.

- Waitlisting: You may be placed on a waiting list rather than receiving immediate acceptance
- Conditional Offers: Offers may come with conditions you must meet

- Intake Closures: Programs may close early due to reaching capacity
- Deadline Changes: Universities may change deadlines or requirements
- Policy Updates: Admission criteria and requirements may change

9Client Responsibility & Accurate Information (Very Important)
The success of our services depends heavily on the accuracy and completeness of information provided by clients. This section outlines critical client responsibilities.
Your Responsibilities as a Client:

- Communicate Changes: Promptly inform us of any changes in circumstances, contact details, or plans
- Respond Promptly: Reply to our communications, requests, and queries in a timely manner

🚫 NO Refund Applies If Problems Arise Due To:
- ✗ False, Altered, or Forged Documents: Providing fake or manipulated documents
- ✗ Incomplete Information: Withholding important details about your background
- ✗ Unverifiable Documents: Providing documents that cannot be verified by authorities
- ✗ Withheld or Misrepresented Information: Hiding or misrepresenting facts
- ✗ Missed Deadlines Due to Client Delay: Late submission of documents or information
- ✗ Non-Cooperation or Silence: Failing to respond to communications or requests
- ✗ Undisclosed Refusals or Issues: Not informing us of previous visa refusals, gaps, criminal records, or other issues
- ✗ Changes in Information: Providing information that later proves to be incorrect or outdated
Situation: A client fails to disclose a previous visa refusal. The application is subsequently rejected because the undisclosed refusal appears in embassy records.
Outcome: No refund applies because the problem arose from client’s failure to disclose material information, not from any service failure by LingoLab.
Why Complete Information Is Critical:
- Embassies and universities verify all information thoroughly
- Inconsistencies or false information lead to automatic rejections
- Undisclosed issues surface during background checks
- Professional advice can only be accurate when based on complete facts
- Our reputation depends on submitting honest, verifiable applications
⚠️ Legal Implications:
Providing false information or forged documents to immigration authorities is a criminal offense that can result in permanent visa bans, criminal charges, and other serious consequences. LingoLab will not knowingly submit false or misleading information and reserves the right to terminate services if fraudulent documents are discovered.
10Change of Mind & Personal Circumstances
We understand that life circumstances can change unexpectedly. However, professional services already delivered cannot be reversed.
We Understand Life Happens:
Personal, financial, family, or health challenges can arise unexpectedly. We genuinely understand that sometimes circumstances change beyond your control. However, professional services already provided cannot be “returned” or reversed.
🚫 NO Refund Shall Be Issued If:
- ✗ You Change Your Decision: You decide you no longer want to study abroad or change your plans
- ✗ Personal Circumstances Change: Changes in family situation, relationships, or personal life
- ✗ Financial Challenges: You face financial difficulties or can no longer afford to proceed
- ✗ Family Issues: Family emergencies, opposition, or changed family plans
- ✗ Health Challenges: Medical issues or health concerns arise
- ✗ You Pause or Defer: You decide to postpone or delay your plans
- ✗ You Abandon the Process: You stop responding or discontinue the process
- ✗ You Engage Another Consultant: You decide to work with a different consultancy
- ✗ You Apply Independently: You decide to handle applications yourself
- ✗ You Choose a Different Country/University: You change your study destination preference
Professional time already spent cannot be reclaimed. When counselors spend hours evaluating your profile, researching universities, preparing documents, and providing guidance, that time and expertise have been consumed—regardless of whether you ultimately proceed or change your mind.
What You Are Paying For:
- Professional engagement and availability
- Expert analysis and strategic planning
- Time allocation and resource dedication
- Services delivered up to the point of discontinuation
After paying fees and receiving consultations, SOP drafting, and university shortlisting, you decide due to family pressure not to study abroad. While we sympathize with your situation, no refund applies because substantial professional services were already delivered.
11English Test Preparation Services (IELTS, PTE, etc.)
Our English language test preparation services operate under specific terms regarding refunds and score guarantees.

- ✗ Batch Enrollment: You are enrolled in a specific training batch
- ✗ Batch Allocation: A seat is reserved for you in a class
- ✗ Trainer Assignment: A specific trainer is assigned to your group

- ✗ Material Sharing: Study materials, practice tests, or guides are shared with you
- ✗ Mock Tests or Assessments: You take any practice test or diagnostic assessment
- ✗ Classes Begin: Any training session or class has started

You enroll in IELTS preparation, attend 3 classes, and then decide to prepare on your own. No refund applies because training services have been delivered—you received professional instruction, materials, and guidance for the classes attended.
12Third-Party Fees & Payments
Many costs in the study abroad process are paid directly to third parties. This section clarifies LingoLab’s role and refund policy regarding these payments.
What Are Third-Party Fees?
Third-party fees are payments made to external organizations, not to LingoLab. These include:

- IHS (Immigration Health Surcharge): UK healthcare surcharge
- Biometric Fees: Fees for biometric data collection
- Medical Examination Fees: TB tests, medical exams required for visas
- Courier & Shipping: Document courier or passport return services
- Document Verification: Degree attestation, WES, HEC verification
- Translation Services: Official document translation (if needed)
🚫 LingoLab’s Position on Third-Party Fees:
LingoLab is NOT responsible for refunding fees paid to third parties.
Each external organization (universities, testing bodies, embassies, medical centers) has its own refund policies, terms, and conditions. You must contact these organizations directly for any refund requests related to their fees.
Where We Help (Without Financial Responsibility):
- ✓ We advise on which fees need to be paid and when
- ✓ We provide guidance on payment methods and processes
- ✓ We may assist with payment procedures (but do not handle funds)
- ✓ We can advocate on your behalf with universities (but cannot guarantee refunds)
Understanding Third-Party Refund Policies:
- University Fees: Most universities have strict non-refund policies for application fees; tuition deposits may be partially refundable depending on university policy
- Exam Fees: IELTS, PTE, TOEFL generally allow rescheduling with fees but rarely refund registration fees
- Visa Fees: Embassy fees are non-refundable regardless of visa outcome
- Medical/Biometric Fees: Typically non-refundable once services are rendered
You paid £50 university application fee and £2,000 tuition deposit. Your visa is refused. LingoLab cannot refund these amounts as they were paid to the university. You must contact the university directly to inquire about their refund policy for the tuition deposit (application fees are typically non-refundable).
13Service Packages & Combined Services
We offer comprehensive packages that bundle multiple services together. This section explains how refunds work for package deals.
How Packages Work:
Service packages typically include multiple components such as:
- Profile assessment and counseling
- University selection and shortlisting
- SOP/LOR writing
- Application submission
- Visa documentation and guidance
- Interview preparation
🚫 Package Refund Policy:
Completion of ANY single milestone within a package renders the ENTIRE package non-refundable.
Why This Policy:
Packages are priced for overall professional engagement, planning, and availability—not for individual tasks calculated separately. The package price reflects:
- Bundled discount compared to individual service pricing
- Comprehensive planning and coordination across services
- Professional availability throughout the entire process
- Integrated approach where each service builds on previous ones
What Counts as Milestone Completion:
- Initial consultation and assessment completed
- University shortlist provided
- SOP first draft delivered
- Application submitted to any university
- Visa documentation checklist provided
- Any interview preparation session conducted
You purchase a complete package for PKR 100,000 covering consultation, applications to 5 universities, SOP writing, and visa guidance. After consultation and SOP drafting are complete, you decide to proceed with only 2 universities instead of 5. No partial refund applies because services have been initiated and the package represents an integrated professional engagement.
14Policy Changes, Regulatory Updates & Force Majeure
Immigration and education systems are dynamic, with rules and requirements changing regularly. This section addresses how policy changes affect refund eligibility.

Force majeure refers to extraordinary events beyond anyone’s control, including:

- Natural Disasters: Earthquakes, floods, or other catastrophic events
- War & Political Instability: Armed conflicts or civil unrest
- Government Actions: Embassy closures, travel bans, or policy suspensions

- ✗ Changes in university policies or requirements
- ✗ Increases in fees or costs beyond initial estimates

Clients who had paid for services did not receive refunds because these were force majeure events beyond anyone’s control. 16Client Acknowledgment & Legal Agreement
By making any payment to LingoLab, you hereby confirm and acknowledge that:
- You have read this entire Refund, Service & Professional Engagement Policy carefully and thoroughly
- You had the opportunity to ask questions and seek clarifications before making payment
- You fully understand that refunds are limited to the specific situations outlined in Section 4
- You acknowledge that LingoLab provides advisory and consultancy services, not guaranteed outcomes
- You understand that visa decisions, university admissions, and test results are beyond LingoLab’s control
- You agree that fees are charged for professional services, expertise, and time—not for guaranteed results
- You understand that no verbal assurances, promises, or statements override this written Policy
- You accept full responsibility for providing complete, accurate, and truthful information
- You agree to cooperate fully and meet all deadlines and requirements
- You have entered into this agreement voluntarily and with full understanding
This Refund, Service & Professional Engagement Policy constitutes a legally binding service agreement between you (the client) and LingoLab & Career Counselling, governed by the Contract Act, 1872, and applicable Consumer Protection Laws of Pakistan.
All fees paid to LingoLab are non-refundable by default, except in the limited and clearly defined circumstances expressly stated in Section 4 of this Policy. Any refund, where approved, shall be treated as an exception and goodwill gesture, not a right or precedent.
This Policy constitutes a legally binding agreement between the client and LingoLab & Career Counselling.
LingoLab reserves the right to amend or update this Policy at any time. Clients will be notified of material changes, and continued use of services constitutes acceptance of updated terms.
